The event organiser, Spooky Paranormal Investigations Ltd, has the legal responsibility to tell ticket buyers and event attendees how their personal information will be collected and used. You can find their Privacy Policy below or contact them to request it.

Nothing in this Privacy Notice removes or restricts any rights available under UK data-protection law.

The information we collect depends on the booking, Event and how you interact with us.

It may include:

  • your name;
  • email address;
  • mobile or telephone number supplied for booking or Event administration;
  • booking reference;

  • marketing preferences;
  • feedback or review preferences;
  • payment-related information made available to SPI by Ticket Tailor or a payment provider; and
  • other information you choose to provide to us.

SPI aims to collect only information reasonably necessary for the relevant purpose.

3. Booking and attendee information

When you book an SPI Event, we may use your information to:

  • process and administer your booking;
  • issue booking confirmations and tickets;
  • communicate important Event information;
  • provide arrival, Venue or access information;
  • manage attendance and check-in;
  • respond to questions;

  • manage accessibility or Event-specific arrangements;
  • manage Event safety;

  • establish, exercise or defend legal rights where necessary.

If you book on behalf of another person, please provide only information reasonably necessary for their attendance and make them aware, where appropriate, that their information has been provided to SPI.

4. Under-18 attendees

SPI primarily operates adult paranormal investigation Events.

Children under 12 are not permitted at SPI Events.

Selected suitable Events may permit guests aged 12–17 where this is specifically stated for that Event.

Where an under-18 attendee is permitted, we may process information including:

  • their name;
  • age or date-of-birth information where necessary to confirm eligibility;
  • the identity and contact details of their parent or legal guardian;
  • emergency contact information where required;
  • information relevant to accessibility or Event safety;
  • consent or acknowledgements relating to attendance; and
  • safeguarding information if a concern arises.

Under-18 attendees must remain with their parent or legal guardian in accordance with SPI's applicable policies.

5. Accessibility information

If you contact SPI about accessibility or participation requirements, the information you choose to provide may include information about your health or disability.

We only ask for information reasonably necessary to understand:

  • the barrier you may experience;
  • an adjustment you may require;
  • Venue access requirements;
  • movement or seating requirements;
  • communication requirements; or
  • assistance which may help you participate safely.

You do not normally need to provide us with a medical diagnosis.

Some accessibility information may constitute special-category personal data. Where this applies, SPI will only process it where an appropriate lawful basis and any additional condition required by UK data-protection law are available.

Further information:

Accessibility at SPI Events
https://www.spookypi.co.uk/accessibility/

6. Safety, safeguarding and incident information

SPI may need to record personal information concerning:

  • accidents or injuries;
  • safeguarding concerns;
  • emergencies;
  • behavioural or welfare concerns;
  • alleged misconduct;
  • complaints;
  • incidents involving another guest, SPI team member or Venue representative;
  • action taken in response to an incident; or
  • communications with relevant organisations or authorities.

In limited circumstances, information recorded in connection with an incident, complaint or safeguarding concern may include allegations or suspected criminal conduct.

SPI will only use such information where necessary, proportionate and permitted by law.

Where lawful and necessary, relevant information may be shared with organisations such as:

  • emergency services;
  • the police;
  • a local authority or safeguarding service;
  • the relevant Venue;
  • insurers;
  • legal or professional advisers; or
  • another appropriate organisation where necessary to protect somebody or meet a legal obligation.

We will not disclose this information more widely than reasonably necessary.

7. Photography, video and audio

SPI may take photographs, video or audio during Events.

The basis on which material is taken or used depends on the circumstances.

Ordinary contextual or documentary Event photography may, where appropriate, be processed on the basis of SPI's legitimate interests where those interests are not overridden by the rights and interests of the people shown.

Where a person is deliberately featured as the principal subject of promotional photography, an interview, testimonial or similar material, SPI will normally seek specific agreement or consent where appropriate.

Additional care is taken where an under-18 attendee is involved.

8. Service communications

Contact details supplied during booking may be used to send communications reasonably necessary to administer your booking or Event.

These may include:

  • booking confirmations;
  • ticket information;
  • reminders;
  • arrival instructions;
  • Venue information;
  • safety information;
  • changes to Event arrangements;
  • cancellation information;
  • accessibility arrangements; or
  • other important information concerning the Event you have booked.

These are service communications, not marketing communications.

Opting out of marketing does not prevent us from sending necessary communications about an existing booking.

9. Post-Event communications, feedback and reviews

SPI may send a post-Event thank-you message or request for feedback or a review where this is permitted and consistent with the communication choices you have made.

Information you voluntarily provide through feedback, reviews or correspondence may be retained where reasonably necessary for customer service, service improvement or evidential purposes.

Where SPI wishes to use a testimonial or deliberately featured customer statement for promotional purposes, appropriate agreement will be obtained where required.

10. Marketing communications

Marketing is separate from communications necessary to administer an existing booking.

SPI may send marketing communications where permitted by applicable law.

Where consent is required, we will seek a clear affirmative choice.

Marketing consent is not required merely to purchase an Event ticket.

Marketing communications may include information about:

  • future SPI Events;
  • news;
  • offers;
  • new services; or
  • other SPI promotional activity.

You can unsubscribe or withdraw marketing consent at any time.

We may retain limited suppression information where necessary to ensure that an opt-out continues to be respected.

11. Lawful bases for using personal information

SPI only processes personal information where an appropriate lawful basis is available.

Depending on the circumstances, this may include:

Contract

Processing may be necessary to:

  • administer your booking;
  • provide the Event you purchased;
  • communicate Event information;
  • manage ticket changes; or
  • take steps you request before entering into a contract.

Legal obligation

Processing may be necessary to comply with legal, financial, accounting, tax or regulatory obligations.

Legitimate interests

SPI may process information where reasonably necessary for our legitimate interests or those of another person, provided those interests are not overridden by your rights and interests.

Examples may include:

  • customer service;
  • Event administration;
  • maintaining appropriate records;
  • protecting guests, SPI and Venues;
  • preventing fraud or misuse;
  • dealing with complaints;
  • managing ordinary documentary Event photography where appropriate;
  • protecting legal rights;
  • service improvement; and
  • website and system security.

Consent

We may rely on consent where appropriate, including for certain:

  • marketing communications;
  • deliberately featured promotional photography;
  • interviews;
  • testimonials; or
  • optional technologies requiring consent.

Where processing relies on consent, you may normally withdraw that consent at any time.

Vital interests

In a genuine emergency, personal information may be processed where necessary to protect somebody's life or physical safety.

12. Special-category personal information

Certain information receives additional protection under UK data-protection law.

This can include information concerning health, disability, religion, racial or ethnic origin and other protected categories.

SPI does not seek to collect this information unnecessarily.

Where special-category information is processed, we will identify both an appropriate lawful basis and any additional condition required by law.

13. Ticket Tailor

SPI uses Ticket Tailor to provide ticketing and booking administration.

Ticket Tailor may process information connected with:

  • ticket purchases;
  • booking details;
  • attendee details;
  • booking communications;
  • Event management;
  • refunds;
  • ticket transfers;
  • order administration; and
  • related ticketing functions.

Ticket Tailor may act as a processor for information handled on SPI's behalf and may also undertake certain processing in its own capacity.

Ticket Tailor's own privacy and cookie information may therefore also apply to your use of its platform.

14. Payments

Electronic payments may be processed by Ticket Tailor and payment providers made available during checkout, such as Stripe, PayPal or another provider.

SPI does not need to receive or store your complete payment-card details merely in order for an electronic card payment to be processed.

Payment providers may process personal information under their own privacy information.

15. Optional refund protection

Where available, Ticket Tailor may offer optional refund protection through a third-party provider such as XCover or another provider displayed during checkout.

This is separate from SPI's own cancellation and refund obligations.

Information submitted when purchasing refund protection or making a claim may be processed by the relevant provider under its own privacy terms.

SPI does not determine third-party refund-protection claims.

16. Other service providers

SPI may use trusted service providers to support its operations.

Depending on the services being used, these may include providers of:

  • website hosting;
  • ticketing;
  • payment processing;
  • email;
  • cloud storage;
  • accounting;
  • forms;
  • analytics;
  • advertising measurement;
  • IT services;
  • social media; and
  • professional advice.

We provide service providers only with information reasonably necessary for the relevant purpose.

Where an organisation processes personal information on SPI's behalf, appropriate data-protection arrangements will be used where required.

Some organisations may instead act as separate data controllers for aspects of their service.

17. Venues

SPI Events take place at third-party Venues.

Where reasonably necessary, limited personal information may be shared with a Venue for purposes such as:

  • accessibility arrangements;
  • safety;
  • emergencies;
  • safeguarding;
  • incidents;
  • complaints; or
  • security.

A Venue may independently process personal information for its own purposes, such as CCTV or its own security arrangements. Where this happens, the Venue may be a separate data controller.

18. Website analytics, advertising and cookies

The SPI website uses cookies and similar technologies.

Some technologies are necessary to operate and secure the website.

SPI also uses Google Analytics 4 to help understand how the website is used, subject to the website's consent controls.

Other analytics or advertising-measurement technologies may be used where configured and permitted.

Where UK law requires consent, non-essential analytics or advertising technologies are not intended to be activated until the visitor has made the relevant consent choice.

Our current website cookie information, including the services and technologies in use, is available in:

Cookies Policy
https://www.spookypi.co.uk/cookies-policy/

Ticket Tailor operates its own platform and may use cookies or similar technologies under its own privacy and cookie information.

19. International transfers

Some providers used by SPI may process personal information outside the United Kingdom.

Where a restricted international transfer takes place, SPI will seek to ensure that an appropriate lawful transfer mechanism or safeguard is used where required.

This may include an applicable adequacy arrangement, contractual safeguards or another mechanism permitted by UK data-protection law.

20. Data retention

SPI does not keep personal information for longer than reasonably necessary for the purpose for which it is held.

SPI maintains an internal data-retention schedule setting standard retention and review periods for the main categories of information we hold.

Records may be deleted, anonymised or reviewed when their normal retention period expires unless there is a documented reason to retain them for longer, such as:

  • an active complaint;
  • a safeguarding matter;
  • an insurance claim;
  • a legal matter;
  • an incident;
  • a regulatory enquiry; or
  • another lawful and proportionate reason.

Factors which may affect retention include:

  • accounting and tax requirements;
  • contractual requirements;
  • insurance requirements;
  • legal limitation periods;
  • complaints and disputes;
  • safeguarding requirements;
  • evidential requirements;
  • consent and objections; and
  • whether continued retention remains necessary and lawful.

Marketing information may be retained while the relevant marketing permission remains valid, together with limited suppression information required to respect an opt-out.

21. Security

SPI takes appropriate technical and organisational measures designed to protect personal information against:

  • unauthorised access;
  • unlawful processing;
  • accidental loss;
  • destruction;
  • alteration; or
  • inappropriate disclosure.

The measures used depend upon the information, systems and risks involved.

No electronic system can be guaranteed to be completely secure.

22. Personal-data breaches

Where SPI becomes aware of a personal-data breach, we will assess the circumstances and take reasonable steps to contain and investigate it.

Where the law requires a breach to be notified to the Information Commissioner's Office or affected individuals, SPI will make the appropriate notification within the applicable legal timeframe.

23. Your data-protection rights

Depending on the circumstances and the lawful basis being used, you may have rights including:

  • the right to be informed;
  • the right of access;
  • the right to rectification;
  • the right to erasure in certain circumstances;
  • the right to restrict processing in certain circumstances;
  • the right to data portability where applicable;
  • the right to object to certain processing; and
  • the right to withdraw consent where processing relies on consent.

These rights are not absolute and legal exemptions may apply.

SPI may need to verify your identity before acting on a request.

Requests will normally be dealt with within the timeframe required by applicable UK data-protection law.

24. Your right to object

Where SPI relies on legitimate interests, you may have the right to object to that processing.

SPI will consider the circumstances, including:

  • the nature and purpose of the processing;
  • the reasons for the objection;
  • the impact on you; and
  • whether SPI has compelling legitimate grounds to continue the processing or requires the information for legal claims.

You have a separate right to object to the use of your personal information for direct marketing.

25. Withdrawing consent

Where processing relies on your consent, you can normally withdraw that consent at any time.

Withdrawal does not make processing which took place lawfully before withdrawal unlawful.

Where consent relates to photographs, video, testimonials or similar material, SPI will take reasonable steps concerning future use.

It may not always be possible to retrieve material which has already been lawfully printed, published, downloaded, shared or redistributed by third parties.

26. Making a data-protection request

Privacy questions and requests concerning your personal information can be sent to:

hello@spookypi.co.uk

You do not need to use particular legal wording.

It is helpful to explain:

  • which right you wish to exercise;
  • what information your request concerns;
  • relevant dates or Events; and
  • any information which may help us identify the relevant records.

SPI will not normally charge a fee for exercising data-protection rights except where a fee is permitted by law.

27. Complaints about personal information

If you believe SPI has handled your personal information incorrectly or has not complied with data-protection law, you can contact us at:

hello@spookypi.co.uk

or use:

Contact SPI
https://www.spookypi.co.uk/contact-spi/

SPI will investigate an appropriate data-protection complaint and communicate the outcome without undue delay.

Using SPI's complaints process does not remove your right to complain to the UK's data-protection regulator, the Information Commissioner's Office (ICO).

28. Changes to this notice

SPI may update this Privacy Notice where necessary because of:

  • changes in law;
  • changes to SPI's services;
  • changes to our systems or providers;
  • new processing activities; or
  • improvements to the information we provide.

The latest version and revision date will be published when the notice is updated.

Updating a Privacy Notice does not retrospectively create consent where consent is legally required.
